HowtoE-mailYourProfessor
Studentsoftentellusthattheyworryabouthowtoaddressane-mailmessagetoaprofessor–especiallyonewhomtheydon'tknow.Belowaresuggestionsthatanswerconcernswe'veheardnotjustfromstudents,butfromprofessors.Andnote:
usethesetipsnotjustfore-mailingprofessors,butpeoplewhoworkincollegeoffices,youremployersandjobsupervisors,andyourclassdeansandRDs.
Onaddressingyourprofessor
E-mailtoaprofessorshouldbetreatedlikeabusinessletter–atleastuntilyouknowthatprofessor'spersonalpreferencesverywell.Althoughe-mailiswidelyregardedasaninformalmedium,itisinfactusedforbusinesspurposesinmanysettings(includingWellesleyCollege).Youwon'terrifyouaretooformal,butthereisthepossibilityofcommittingmanygaffesifyouaretooinformal.
Thesubjectheadershouldbeinformative.Itisnotasalutationline,sodon'twritesomethinglike"heyprofessor"inthatline.Instead,writeafewwordsindicatingthepurposeofyourmessage:
"Requestforaspaceinyourclass,"forexample.
Useprofessors'nameswhenaddressingthem.Manyprofessorswequeriedsaidthattheydonotliketobecalledsimply"professor."Theyprefer"ProfessorLee"or"Ms./Mr.Lee";mosttellusthatthetitleitselfdoesn'tmatternearlysomuchasthefactthatyoualsousetheirnames("Dr.Lee"doesseemtobeuncommonatWellesley,though,justsoyouknow).Someprofessorswilleventuallysuggestthatyoucallthembytheirfirstnames,butifyouarem
orecomfortablecontinuingtouseatitle,thatisalwaysfine.Justbesuretouseaname.(Note:

Tosomeeyesandears,"DearProfessorJones"maybetooformalforane-mailmessage–butinfactitwilldojustfinewhenyourpurposeisabusiness-likeone.Simplywriting"ProfessorJones"(followedbyacomma)isfine,too.Somefacultyaresensitivetotheword"Hi"asasalutation,whetheraloneorwithaname(e.g.,"Hi,ProfessorJones"),butothersdon'tminditandinfactuseitthemselves.Butavoid"hey"–noonewequeriedlikesthatone.
Don'texpectaninstantresponse.Althoughwehaveallbecomeaccustomedtotheinstantaneousqualityofelectroniccommunication,yourprofessorswantyoutoknowthattheysimplycannotalwaysansweramessagequickly.Allowthemadayortwo,orevenmore,torespond.Youcanre-sendthemessageifyouhaven'theardbackinfivedaysorso.
One-mailstyle
Don'tusesmileyfacesorotheremoticonswhene-mailingprofessors,anddon'tuseallthoseinternetacronyms,abbreviations,andshortenedspellings(e.g.,LOL,or"U"for"you").Similarly,don'tconfuseemailstylewithtxtstyle.Allofthatelectronicshorthandsignalsalevelofintimacy(andperhapsofage)thatisinappropriateforexchangeswithyourprofessors.
Writegrammatically,spellcorrectly,andavoidsillymistakes.Proofread.Usethespelling
checker.Especiallydouble-checkforembarrassingerrorsinyoursubjectheader.Showthatyoucareabouthowyoupresentyourselfinwritingtoyourprofessor.
Useparagraphbreakstohelporganizeyourmessage.It'shardtoreadalongunbrokenstreamofwordsonascreen.

Don'tusee-mailtorantorwhine.Sometimestheveryappearanceofamessagecansignal"rant":
verylongparagraphs,nocapitalletters,nosentencebreaks.Thesearenotfuntoread,andmaywellelicittheexactoppositeresponsethatyouintend.Ofcourse,wearealltemptedtorantsometimesine-mail,sowhatoneprofessorrecommendsisthis:

Keepmostmessagestounderascreeninlength;lotsofreaderswillsimplydeferreadinglongmessages,andthenmaynevercomebacktothem.Ontheotherhand,averyshort,tersemessagemaysimplybemeaningless.Besuretoincludeenoughinformationsothatyourreadercanunderstandwhatyouarerequesting.Provideabitofbackgroundorcontextifnecessary.Stateyourrequestclearly.
